Terms & Agreement
Rose Haven Event Rentals
1. Reservations & Payment
All reservations are confirmed only after speaking with a Rose Haven Event Rentals team member, receiving an official invoice via email, and submitting a $50.00 non-refundable security deposit.
The $50.00 security deposit is required to secure the event date and is non-refundable under all circumstances.
Full payment is due no later than seven (7) days prior to the scheduled event date. Failure to submit full payment by this deadline may result in cancellation of the reservation.
By submitting payment, the Client agrees to all Terms & Conditions outlined herein.
2. Cancellations, Refunds & Rescheduling
All cancellations must be submitted by email to [email protected]
- Cancellations made more than seven (7) days prior to the event date:
The Client will receive a refund of all payments made, excluding the $50.00 non-refundable security deposit. - Cancellations made within seven (7) days of the event date:
No refund will be issued. However, the Client may reschedule the event for a future date within six (6) months of the original event date, subject to availability.
Rescheduled events must occur within six (6) months of the original event date and are subject to inventory availability and current pricing, if applicable
3. Delivery & Setup
All rental items are delivered and professionally set up by Rose Haven Event Rentals. Customer pickup is not available.
Delivery and setup times are scheduled in advance and may vary based on logistics, event location, and site accessibility.
The Client is responsible for ensuring clear, safe, and unobstructed access to the delivery and setup area. Delays or additional labor caused by restricted access may result in additional fees.
4. Rental Period & Time Window
Rental periods are based on the agreed-upon delivery and pickup times outlined in the invoice.
Equipment must remain on-site and available for pickup at the scheduled time. Late pickups, restricted access, or delays caused by the Client or venue may result in additional labor or extended rental fees.
5. Use of Rental Equipment
All rental items must be used solely for their intended purpose. Equipment may not be moved, altered, or relocated from the original setup location without prior approval from Rose Haven Event Rentals.
The Client assumes full responsibility for all rented items from the time of delivery until pickup.
6. Damage, Loss & Theft
The Client is responsible for any damage, loss, or theft of rental items occurring during the rental period, excluding normal wear and tear. Repair or replacement costs will be assessed and charged to the Client accordingly.
7. Cleaning Policy
All rental items must be returned in the same clean condition in which they were delivered.
Items returned excessively dirty—including but not limited to food residue, mud, paint, wax, or other substances requiring special cleaning—will be subject to a cleaning fee. This fee will be determined based on the labor, time, and materials required and will be charged to the payment method on file.
8. Event Site Conditions
The Client is responsible for ensuring the event site is suitable for setup, including level ground, adequate space, and safe working conditions.
Additional labor fees may apply for difficult terrain, limited access, stairs, long distances, or unsafe site conditions.
Rose Haven Event Rentals reserves the right to refuse setup or remove equipment if site conditions are deemed unsafe.
9. Weather & Outdoor Events
The Client assumes full responsibility for all weather-related risks associated with the event.
If the Client chooses to cancel due to weather:
- Cancellations made more than seven (7) days prior to the event date:
The Client will receive a refund of all payments made, excluding the $50.00 non-refundable security deposit. - Cancellations made within seven (7) days of the event date:
No refund will be issued. The Client may reschedule the event for a future date within six (6) months of the original event date, subject to availability.
Once within seven (7) days of the scheduled event date, all payments become non-refundable, regardless of weather conditions.
Rental items must be protected from rain, wind, excessive moisture, extreme heat, or other damaging conditions. Any weather-related damage to rental items will be the financial responsibility of the Client.
10. Additional Charges Authorization
By agreeing to these Terms & Conditions, the Client authorizes Rose Haven Event Rentals to charge the payment method on file for any additional fees resulting from, but not limited to, the following:
- Failure to comply with terms & agreements
- Damaged, dirty, lost, or missing rental items
- Unauthorized changes to delivery or pickup arrangements
- Delayed pickup, restricted access, or extended rental time
Additional charges will be assessed based on the nature of the issue, the items involved, and the time or labor required to resolve it. An itemized breakdown of additional charges will be provided when applicable.
11. Special Requests or Notes
Clients with special requests or event-specific accommodations must provide all relevant details at the time of booking. Requests submitted after booking are not guaranteed.
12. Photo & Marketing Release
Rose Haven Event Rentals reserves the right to photograph rental setups for marketing, portfolio, and promotional purposes. Photos will not intentionally identify clients unless prior consent is given.
13. Force Majeure
Rose Haven Event Rentals shall not be held liable for failure or delay in performance due to circumstances beyond reasonable control, including but not limited to severe weather, natural disasters, government restrictions, power outages, or emergencies. In such cases, the company reserves the right to reschedule services when possible.
14. Liability & Hold Harmless Agreement
The Client agrees to release, hold harmless, and defend Rose Haven Event Rentals, its owners, employees, and contractors from any claims, damages, injuries, or losses arising from the use, possession, or operation of rental equipment during the rental period.
15. Right of Refusal
Rose Haven Event Rentals reserves the right to refuse service or remove equipment if an event poses a safety risk or violates company policies or these Terms & Conditions.
16. Acceptance of Terms
By placing an order and submitting payment, the Client acknowledges that they have read, understood, and agreed to these Terms & Conditions. The Client waives the right to dispute valid charges resulting from breach of contract, including but not limited to damage, loss, excessive cleaning, late pickup, or failure to follow instructions.
